POSITION SUMMARY

Reporting to the Director, Direct Marketing, the Coordinator, Direct Marketing is responsible for supporting all activities and initiatives associated with Prostate Cancer Canada’s Individual Giving direct response fundraising program. Activities include the  renewal and upgrading of existing donors and the sourcing of new donors through various channels including direct mail, digital, online and telephone. The Coordinator, Direct Marketing also administers and supports stewardship and recognition strategies for individual annual and leadership donors.      

The Coordinator, Direct Marketing ensures that all of the duties and activities they administer and execute are in compliance with Prostate Cancer Canada’s policies, procedures and guidelines, as well as the Canadian government’s privacy legislation and various fundraising codes of ethical principles and standards. 

Major Duties and Responsibilities:

Direct Response (60%):
  • Contributes to the annual budgeting, planning and goal-setting process 
  • Drafts and/or reviews creative briefs and mail plans
  • Proofreads all direct response copy and design elements for accuracy; and manages the process to secure final approvals with external third parties
  • Assists in review of list recommendations, merge-purge instructions, and list orders    
  • Serves as the lead contact with Canada Post to secure artwork/approvals, manages the accuracy of statements of mailing, and alerts PCC staff regarding any postal issue changes
  • Coordinates and implements all web-related online fundraising activities and elements, including PCC donation pages, e-campaigns and CanadaHelps
  • Generates reports as needed, including list performance, revenue variance, online giving and campaign performance summaries
  • Monitors and recommends action for list trade requests; maintains a swipe file
  • Oversees the receipting process and provides back-end fulfillment direction for external donation processing
  • Updates and distributes seed lists as necessary 
  • Maintains and updates the direct mail sample binder and electronic files
  • Drafts thank you letter messaging and secures French translation, as required
  • Manages and assigns campaign/creative/source codes for all DM fundraising activities
  • Distributes all campaign-related communications, including schedules, campaign alerts, and samples to internal stakeholders  
  • Reviews and routes quarterly donation processing audit reports
  • Responsible for all campaign workback schedules and ensuring deliverables stay on schedule  
  • Creates and distributes a semi-annual donor newsletter (print and electronic)    
Donor Relations (10%):
  • Participates in developing and administering donor stewardship and recognition strategies, and coordinates related activities        
  • Coordinates and administers a tribute giving program    
  • Coordinates fulfillment of bequest information requests and other donor inquiries
  • Assists in the stewardship of Planned Giving donors
Database (15%):
  • Runs queries to prepare mailing and recognition lists; and for strategic data analysis     
  • Reviews and verifies fundraising report content and provides direction to service provider for updates and corrections
  • Manages the requests for fundraising campaign and donation processing reports
  • Manages the maintenance of data integrity and donor record management     
  • Provides organization-wide support for constituent data housed in both an external (third party) and internal (Raiser’s Edge) database.
Administrative (15%):

  • Reviews, codes, logs and reconciles all project quotes and invoices associated with the annual giving program and submits to Director, Direct Marketing for approval
  • Ensures that vendor payment is requisitioned and issued on schedule so as not to compromise campaign deadlines  
  • Monitors inventory of fulfillment materials and other stationary at donation processing centre, and updates and secures new materials, as required 
  • Administers and processes donations received as gifts of security for the organization.

It may be necessary to change some of the tasks and/or responsibilities as described above in order to meet the changing needs and requirements of the Foundation.
